Organizer Guide › First Steps as Organizer · 5 min read
Guide for organizers after founding a TEIKEI pickup community in Switzerland.
Includes important next steps, communication tips, and organizational notes.
Immediately after your registration, your TEIKEI order community will be activated and can become active right away.
With your commitment, you help build a community-supported food supply and connect people in your region.
To help you prepare well, you'll find a step-by-step guide here covering the most important tasks and processes:
✔ Coordination of orders – You keep track of orders and delivery quantities in your hub.
✔ Communication with members – You inform members about order deadlines, pickup dates, and special features.
✔ Organization of pickup – You ensure that products are made available at a suitable pickup location.
✔ Contact person for TEIKEI – You stay in touch with the TEIKEI team if questions or adjustments are needed.
As an organizer, you are the central contact person for your order community.
▸ Private organizers receive the organizer credit: 5% of the purchase price (producer price including packing) for each distributed box.
▸ Stores and farms that offer TEIKEI products and also serve as pickup locations receive 10% of the purchase price for each distributed box as credit (5% organizer credit and 5% partner location credit) as well as access to resale prices on the TEIKEI Agora. More information: Operational Support.
This helps grow a strong, community-supported network that enables fair and transparent food supply.
After your registration, the TEIKEI support team will contact you. In an initial conversation, the framework conditions will be clarified and the next steps discussed to activate the community together.
Once all organizational points are clarified, the TEIKEI support team will create a concrete logistics plan. This defines the following bindingly:
▸ the timing and process of the first delivery
▸ the rhythm of subsequent deliveries
▸ the exact delivery location
▸ as well as the contact persons on site
All members of the community orient themselves according to this plan. Once everything is coordinated, the community can be officially activated – and the harvest shares can be registered.
Share the order link for your community with interested parties.
Use templates for flyers, newsletters, and social media to reach people in your region.
A good snowball effect: If seven people each invite seven more, something comes to life – from one impulse a community emerges, and together you quickly reach the necessary quantity for the first delivery.

The delivery quantity is coordinated individually with the TEIKEI team.
It results from the delivery route between the distribution warehouse and pickup location as well as the number of potential pickup locations in the region.
The delivery quantity for your community is agreed upon with you during setup. It is based on the costs of delivery to your pickup location: All orders in a delivery month must together cover these costs. In Switzerland, each ordered kilogram contributes CHF 0.43 (CHF 250 per pallet). How this is calculated can be found under Delivery Quantities.
There is no delivery quantity for olive oil.
Deliveries take place monthly – the exact deadlines can be found in the order calendar on ch.teikei.shop.
💡 Tip: A delivery takes place once the delivery quantity is reached. The delivery quantity is discussed individually.
For most communities, it is one Euro pallet per pickup location – however, alliances are increasingly being formed.
This allows regions to be served better and the delivery quantities of individual communities to decrease.
If your region does not reach the quantity, you can team up with other communities in the neighborhood.
If no alliance is possible, the delivery quantity must be met by your own community.
▸ Dry and protected (2 to 18°C)
▸ 1 to 1.5 m² of space, temporarily limited for pickup days (e.g., 70 stackable boxes)
▸ Suitable locations: unpackaged goods stores, farm shops, garden sheds, businesses, or community spaces
TEIKEI deliveries take place monthly around the last Wednesday of the month.
For your community to be included in the delivery, the following applies:
▸ By the deadline: All orders must be completed and the delivery quantity reached
▸ Monday/Tuesday: International delivery to the TEIKEI distribution warehouse in Switzerland or Germany
▸ From Wednesday: Start of national shipping to pickup locations
▸ Wednesday to Friday: Regional delivery to your community (exact day depending on location)
🔔 Note: The exact delivery day is coordinated individually after your community is founded.
Based on this, you set the pickup times for members.
⚠️ Important Note:
The delivery date is not the pickup date – it refers to the day the products arrive at the warehouse.
Pickup by members usually takes place one day later.
If a member does not pick up on time: document the products and pass them on if necessary.
Keep your community regularly updated – especially during active order phases:
▸ Remind members of order deadlines in a timely manner and inform them about progress
▸ Highlight special features in the current delivery month (e.g., holidays, new products)
▸ Use messenger groups (e.g., Telegram or Signal) for short-term information
▸ Use the communication tool in the TEIKEI Agora for central announcements to all members
What happens if a member does not pick up their order on time?
Send a reminder, document, and possibly pass on the products.
What happens if the delivery quantity is not reached?
Combine with neighboring communities or postpone; contact support.
Can pickup locations be unattended?
Yes, with fixed times or access code possible.
What to do in case of damaged products or delivery problems?
Document (photo) and report directly to TEIKEI; possible credit or replacement.
